Welcome, local artisans and makers! We are thrilled to invite you to the Woodlake Holiday Maker’s Market, a cozy, festive evening celebration designed to showcase your wonderful crafts while bringing holiday cheer to our community. 

 Event Highlights & Atmosphere 

• Date & Time: 8 4:00 PM – 7:00 PM 
• Location: Woodlake Community Center (5020 Woodlake Village Parkway, Midlothian, VA 23112)
• Festive Features: To keep spirits high and shoppers warm, we’ll have patio gas fire pits roaring, festive holiday music playing, and a special appearance by Santa Claus himself!
• Indoor & Outdoor Experience: This year’s market spans both our indoor hall and our spacious outdoor patio, creating a seamless, cozy layout for vendors and visitors.

 Booth Space & Setup Guidelines 

Space Allocations: 

• Standard Space Limit: Each space accommodates either two 6-foot tables (in “L” fashion) OR one 6-foot table plus surrounding hanging space (window displays permitted with damage-free hanging tools like Command hooks). 
• Need More Space? Vendors requiring a larger setup should register for an outdoor spot along the lawn/walkway areas adjacent to the Community Center and bring a standard tent.

Tents & Display Needs: 

• Vendors are responsible for supplying their own tables, chairs, lighting, and tents (if applicable). (Lighting outside is good but we may dim them for a more festive atmosphere, so bring table lights.)
• Patio Vendors: Tents are generally not needed unless inclement weather occurs. If setting up a tent on the concrete patio, please bring appropriate weights (no ground stakes). Also, there will be additional space opportunities if it doesn’t rain or snow on the Patio because obviously, tents take up more room.  So, you may be moved from outside the Community Center to Patio area, day of pending weather.  Check in with Jenny before setting anything up. 

 Indoor Placement Requests: 

• Indoor spaces are strictly limited and filled on a first-come, first-served basis.
• If you prefer an indoor spot: Email Jenny DeLorenzo at jennyd@woodlakeva.org to verify availability before completing your registration.
• If you are happy with an outdoor or patio spot: No need to email first—go ahead and register!
• Final placement assignments will be emailed to all registered vendors approximately one week prior to the event.

Arrival & Check-In: 

• Setup Window: Setup begins up to 2 hours prior to the start of the market (2:00 PM).
• Check-In: Please report to Lifestyle Services at the entrance of the Community Center upon arrival. A team member will escort you directly to your assigned station.

 Market Policies & Rules 

1. Participation Fee: $20 per market space.
2. Cancellation Policy: If you cannot attend, please provide at least 24 hours’ notice by contacting Jenny DeLorenzo via email at jennyd@woodlakeva.org or by phone at 804-739-4344.
3. Full Attendance: Vendors must remain set up and present for the entire duration of the market (4:00 PM – 7:00 PM), emergencies excepted.
4. Wi-Fi Access: Free Wi-Fi is available on site, but signal strength may vary. We strongly encourage vendors to have an offline backup plan for processing digital payments.
5. Marketing & Promotion: Woodlake will highlight attending vendors in our community newsletter broadcast and on our official Facebook page the day before the event. We encourage vendors to cross-promote on their own website and social channels!
6. Clean-Up & Teardown: Breakdown must be completed within 1 hour following the market’s close (by 8:00 PM). Vendors are responsible for removing all trash and leaving their space spotless. If you require additional setup or teardown time, please notify Jenny DeLorenzo at least 24 hours in advance.
7. Facility Care: Please ensure display equipment does not scratch or mark the flooring/patio concrete. Tape and pushpins are strictly prohibited on interior walls. Non-damaging hangers (e.g., Command hooks) may be used on glass windows.
8. This is non-refundable unless Woodlake Community Association cancels the market and is not able to reschedule – typically rescheduled to the next Tuesday. Woodlake reserves the right to close markets due to weather or other circumstances. All vendors for the market will be notified if the market is closing by email.December 8 – $20.00 to participate
